Your presence information is a quick way for other people to see your availability status. Presence is automatically set based on your Outlook calendar, but you can change it manually if you want to.
As an example, if you have a meeting currently scheduled in Outlook, your status appears as 'In a meeting' in Skype for Business. When you're in a Skype for Business audio or video call, your presence indicator appears red, as Busy, and your status is updated to 'In a call.'
You can also manually set your presence status to include details you want others to see. your presence can also include a personal note that appears in your Contacts list and on your contact card. This gives people more information about what you're up to.


Change your presence status
Click the status menu drop-down arrow below your name on the Skype for Business main window, and then click the status you want to show other people.
To revert from the status you set and have Skype for Business automatically update your status, click the status menu and then click Reset Status.

Make sure you set your status accurately. The following table describes each presence status that other people may see for you, what each status means, and which ones you can set yourself.

THE LOCK-AND-GO

Aadi took off on Friday afternoon for a weekend of fishing. He turned on Automatic Replies in Outlook to announce this, then locked his Windows desktop computer and left Skype for Business running.

Add or remove a personal note
Type a personal note, such as 'Working from home,' at the top of your Skype for Business main window, to share current details about your status. The note will appear with your contact card. Change the note as often as you like.
To add a personal note
In the Skype for Business main window, click the note box above your name, and then type a note, such as 'Working from home' or 'Working on a deadline, please IM instead of stopping by.'
To remove your personal note
Click the note box above your name, and, on your keyboard, press BackSpace, and then press Enter. The text in the box reverts to the default message, 'What's happening today?'
Turn your out-of-office notification on or off
If you Skype for Business account is synchronized to your Outlook calendar, an out-of-office message displays as your personal note in Skype for Business whenever you turn off the out-of-office notification in Outlook. So, for example, when you're going to be on vacation, you might set up your out-of-office notification in Outlook indicating that you're on vacation (and sharing any relevant information, such as whether you'll be checking email and who your backup is). This notification is published in your contact card and other contact listings that are displayed to your contacts in Skype for Business.
Note: When you return for a vacation, remember to turn off the out-of-office notification. You have to go into Outlook to do this. You can't delete the note from Skype for Business.
To turn on the notification in Outlook
In Outlook, click File > Automatic Replies > Send automatic replies, and then write your out-of-office message and schedule it for display.

To turn off the notification in Outlook and thereby remove the message from your Skype for Business display
In Outlook, click File > Automatic Replies > Turn off. (It can take up to thirty minutes for the note to disappear from your Skype for Business display.)

To sync your Skype for Business and Outlook accounts
  1. In the Skype for Business main window, click Options.

  2. In Skype for Business - Options, click Personal.

  3. Select the Update my presence based on my calendar information check box.
  4. Select the Display my Out of Office information to contacts in my Friends and Family, Workgroup, and Colleagues privacy relationships check box to sync your Skype for Business and Outlook accounts.

Note: Currently, Skype for Business on Mac does not provide presence information based on your Outlook calendar. This will be available in a future update.

Click either of the Play buttons and ensure that you have a private audio device such as earbuds or a USB headset plugged in to your computer.

Deleting Voicemail from Outlook

Since voicemail messages are delivered to Outlook, they can be handled as you would any other email message. Select the voicemail message you wish to delete and then press the Delete key to remove the message. Voicemail messages deleted from Outlook are automatically removed from your Skype for Business client.

Record & Save a Standard and an Away Voicemail Greeting

Skype for Business Voicemail provides users with the ability to create two greetings; a standard greeting and an away greeting. These greetings can be created using the Skype for Business client. Following are detailed instruction:

To record or change your voicemail greeting using the Skype for Business Client

Windows Client

First select the dial-pad icon, then select the audio tape icon on the right side of the voice mail section and finally select the Change Greetings option. Follow the audio prompts to change or record your voicemail greetings.

Mac Client

Select Preferences from the main Skype for Business menu. Select the Calls icon in the Preferences window. Select the Change Voicemail Greeting button and follow the audio prompts to change or record your greetings.

What is the preview message feature?

This feature uses 'speech to text' technology to transcribe the content of each voicemail message into text. The preview is provided to give you a clue as to the content of the message, and particularly the urgency, which helps you to prioritize your response. For example, if you are in a meeting and can view messages but not immediately listen to them, you can respond accordingly. Later, you can listen to the message to hear the actual content. Best practice is to always listen to the message to hear the actual content.

Is the speech to text transcription accurate?

The current version of speech to text transcription is significantly improved over prior versions and therefore transcriptions are much more accurate. Speech to text translation is much more difficult than text to speech, given the many variables that it has to overcome. There are a number of factors that contribute to how well the speech is transcribed, from the audio quality of the recording to the speech itself. Low volume or interference on the line can affect it, as well as any accents, mannerisms, or enunciation elements of the person speaking.

The new Microsoft voicemail system introduces changes over the traditional Unified Messaging (UM) voicemail. Some of these differences are covered below:

Transcription Accuracy

The new Microsoft voicemail we are using offers significantly improved transcription accuracy over Unified Messaging (UM). Consequently, users will receive transcriptions that are more accurate.

Setup Differences

Most users that are migrated to Skype for Business will automatically be setup for voicemail. Users will no longer receive an automated email indicating they have been set up.

Dial-in Access

Previously, Unified Messaging (UM) users had the option of dialing in to review their voicemail messages. This option is no longer available with the new Microsoft voicemail product. Voicemail messages can be previewed in Outlook or in the Skype for Business client.

UM PIN

Unified Messaging allowed users to create complex call answering rules. This process has been simplified with the new voicemail, consequently any pre-existing call answering rules are no longer supported. Voicemail users can create new call answering rules at: https://aka.ms/vmsettings

Call Answering Rules Overview

By default, unanswered Skype for Business phone calls are sent to voicemail, where the caller listens to your greeting and leaves a message if they so desire. Skype for Business Voicemail allow you to create Call Answering Rules, which allow the call to be processed differently when it is received.

For example, you can:

  • Not play a greeting and then hang up,
  • Play a greeting and then hang up,
  • Play a greeting and then transfer the call, or
  • Play a greeting and then allow the user to record a message or transfer to a different number

To Change Call Answering Rules:

In the 'Call Answering Rules' section, select the desired call answering option:

If you select an option that transfers the call, enter the phone number in the 'Transfer Target' field and then select 'Save'. If the Transfer Target is a University number you may enter the last 5 digits of the number or all 7 digits. For numbers outside the University, enter all 10 digits, including the area code.

Changing a Service (TEL) Account Voicemail Greeting

The owner of a service (Tel) account (TEL-319-xxx-xxxx) will need to log into the Skype for Business client with the username and password assigned to the service account. If you are unsure who the owner of the service account is, or the account username and password, please contact the ITS Help Desk at 319-384-4357.

Windows Instructions

  • Sign into Skype for Business using the Service Account username and password identified above.
  • Click on the phone icon, click on the icon on the lower right of the page (it looks like an audio cassette), and then choose Change Greetings from the menu. Follow the voice prompt instructions to change your Tel account voicemail greeting.
  • When you are done, sign out of the Skype for Business client and then sign back in with your personal HawkID and Password.

Mac Instructions

  • Sign into Skype for Business using the Service Account username and password identified above.
  • Select Preferences from main Skype for Business menu. Select the Calls icon and then select the Change Voicemail Greeting button. Follow the voice prompt instructions to change your service account voicemail greeting.
  • When you are done, sign out of the Skype for Business client and then sign back in with your personal HawkID and Password.
